Executive Assistant to the CEO.
A small company grows one building at a time, and the CEO is in most of those conversations personally — landlords, vendors, engineers, customers. The calendar, the inbox, the follow-ups, and the paperwork behind all of that are the job. You decide what needs the CEO and what does not, you make sure nothing promised in a meeting is forgotten after it, and you keep the office in Jericho running. Some of it is exacting, some of it is dull, and most of it is invisible when it is done well.

Jericho, NY office, with some remote days · Full-time · W-2 hourly employee · non-exempt, overtime after 40 hours
Pay: $24.00–$30.00 per hour
What you do
- Own the CEO’s calendar: schedule, reschedule, protect working time, and make sure every meeting has what it needs beforehand.
- Triage the inbox and phone: answer what you can, draft what you cannot, and flag what needs the CEO today.
- Track commitments made in meetings and chase them to done — with the CEO, with vendors, with partners.
- Prepare agendas, notes, and short briefs before meetings, and send the follow-up after.
- Handle correspondence, contracts, and forms with landlords, vendors, and agencies, accurately and on time.
- Arrange travel, appointments, and logistics, and keep records and expenses in order.
- Keep the Jericho office running: supplies, deliveries, visitors, and the small problems that do not belong to anyone else.
What you bring
- Years supporting an executive or running an office, and the judgment that comes with it.
- Write clear, correct American English — an email a landlord or a lawyer will read as coming from the company.
- Keep a calendar and a task list that never drop anything, without being reminded.
- Discretion with confidential business, personnel, and financial information.
- Fluent with ordinary office software, email, calendars, and shared documents.
- Work in the Jericho office most days, with some days remote once you know the rhythm.
What success looks like
- The CEO walks into every meeting prepared, and nothing agreed in it goes missing afterward.
- The inbox has a status on everything. Silence is never the answer someone got.
- Vendors, landlords, and staff get a reply from you and know it will be right.
- After a few months you can say where the CEO is, what is pending, and what is at risk, without looking.
Schedule
Full-time, Monday through Friday, business hours, in the Jericho office with some remote days. Occasional early or late hours around the CEO’s calendar.
